Job Summary: As a Patient Services Specialist with Grand Island Clinic, you will be the first point of contact for patients and visitors, providing exceptional customer service while efficiently managing the check-in and check-out process, verifying demographic and insurance information, and collecting patient balances, along with other administrative tasks.

Essential Job Functions:

  • Patient Interaction: Greet patients and visitors in a warm and professional manner, ensuring a positive first impression. Provide excellent customer service by addressing inquiries, scheduling appointments, and assisting with patient registration.
  • Appointment Scheduling: Manage the appointment calendar, coordinating patient appointments, consultations, and follow-up visits. Confirm and reschedule appointments as necessary.
  • Medical Records: Maintain accurate patient records, including updated personal information and insurance details. Ensure patient privacy and compliance with HIPAA regulations.
  • Check-In/Check-Out: Facilitate the check-in and check-out process including but not limited to, verifying insurance information and patient demographics, collecting payments, and providing any/all necessary documentation.
  • Phone, Text, and Email Correspondence: Answer incoming calls promptly and respond to patient texts efficiently. Make phone calls and send text messages to patients as necessary to obtain needed information and/or payments. Direct inquiries to the appropriate staff members or departments.
  • Administrative Support: Assist clinic staff with administrative tasks, such as data entry, filing, and maintaining office supplies. Collaborate with medical assistants and nurses to facilitate smooth patient flow.
  • Patient Communication: Relay messages and information between patients and healthcare providers as needed. Maintain clear and effective communication channels within the clinic.
  • Provide guidance and training to other patient services specialists, ensuring consistent and high-quality service delivery.
  • Establish record of insurance and verify insurance coverage prior to patient appointments; meet with existing patients to make changes to insurance coverage information when needed.
  • Obtain current identification such as: copies of driver’s license, insurance card and scan to EHR.
  • Maintain current information in both Phreesia and Allscripts for all patients, updating each or both systems as needed.
  • Verify all patient accounts through electronic verification system or through contact with third party payers, in order to obtain accurate and prompt reimbursement.
  • Understand all payer coverages, including: Commercial, Medicaid, and Medicare.
  • Various additional duties as assigned.

Required Skills/Abilities:

  • Strong interpersonal and communication skills.
  • Exceptional customer service orientation.
  • Proficient in using electronic health record (EHR) systems and Microsoft Office Suite.
  • Ability to multitask and handle high-pressure situations with composure.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Knowledge of HIPAA regulations and patient confidentiality.
  • Organizational skills to maintain an orderly and efficient desk area.
  • Must be able to accommodate a 5-day, 40-hour per week schedule.

Education and Experience Requirements:

  • High school diploma or equivalent.
  • Previous experience as a medical office employee or in a similar administrative role within a healthcare setting.
  • Knowledge of medical terminology and insurance verification.

Physical Demands:

  • Ability to sit or stand for extended periods.
  • Visual acuity for reading and inputting data.
  • Manual dexterity for operating office equipment and computers.
  • Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing.
  • Occasional lifting of up to 20 pounds for moving supplies or records.
